
NASL Collective
It is the responsibility of every Collective member to attend meetings, vote on league decisions, help out on the field and at Notso events, and encourage the spirit of the league.
Description of Positions
President (Executive)
- Signing agent
- Set and oversee season timelines, deadlines, and collective game plan
- Facilitate communication between collective members & ensure members are supported in their tasks.
- Call & chair meetings & create the agendas
- Be the spokesperson for the collective to the league
- Coordinate Registration, Team Sort & AGM in conjunction with the collective
- Coordinate weekly collective updates with the Secretary
Vice-President (Executive)
- Signing Agent
- Apply for permits
- Mail out paper applications
- Create Game and Playoff Schedule with equipment distribution
- Point person for Xtra sponsorship
- Arrange team T-shirt purchase and printing
- Engraving of trophies and awards
- Oversee areas of the collective
Treasurer (Executive)
- Signing Agent
- Purchase league Insurance
- Create season budget
- Provide financial statements to exec on a monthly basis
- Coordinate umpire payroll with Umpire Coordinator
- Provide cash box for merchandise & ticket sales when needed
- Manage Paypal accounts (with Treasurer)
- Coordinate accounting and book-keeping as needed
- Issue refund and reimbursement cheques as necessary
Secretary (Executive)
- Signing Agent (if necessary)
- Take minutes at the meetings
- Read and respond to general league inquiries to info@ email
- Manage waiting list, team rosters & league membership info
- Maintain collective records in "the binder" and on Google docs
- Keep running inventory on all Notso merch, prizes, etc…
- Coordinate weekly collective updates with the President
Head Umpire
- Recruit new umpires before and throughout the season
- Facilitate new umpires participation in the OSA training course & provide ongoing training and support to umpires.
- Create, update and manage umpiring schedule (including last minute cancellations)
- Coordinate umpire payroll in conjunction with the Treasurer.
- Update rules and regulations at the start of the season & address rule issues as they arise
- Address safety concerns (equipment, field conditions, weather conditions, game play)
- Supply and maintain umpires with the proper equipment (inc. game balls)
- Recruit Assistant Head Umpire to help with Umpire training, support and scheduling.
Team Rep Coordinator
- Prepare team binders & collect them at the end of season
- Communicate league information to Team Reps including social activities, important announcements, etc.
- Record weekly attendance records for all teams
- Collect weekly scores and attendance and update on website
- Provide ongoing support via email and face to face
- Collaborate with Head Mentor to organize all-star game
Equipment, Prizes (& Merchandise) Manager
- Inventory equipment at the start of the season and purchase any missing or replacement items (with head Ump)
- Regularly monitor equipment for damaged or missing items and replace as needed
- Replenish first aid kits throughout the season (esp. ice packs)
- Oversee equipment distribution & transportation during the season including rainouts & playoffs
- Coordinate purchase of playoff prizes
- Coordinate sales of league merchandise (optional)
Mentorship Coordinator
- Compile list of possible mentors to be approved by the collective
- Approach potential mentors, explain the role and find out who is willing to take it on for the season (ensure we have enough to accommodate league size)
- Compile helpful softball tips for the binders
- Organize the orientation day for the league utilizing all the team mentors
- Monthly face to face and email check in with all the mentors
- Support mentors in managing team dynamics bringing major concerns to the collective for review
- Be available to league members who are having any variety of troubles that they choose not to discuss with their mentor for whatever reason
- Propose / organize all-star game (in conjunction with Team Rep Head)
- Run clinics and practices
Social Coordinators (2 positions)
- Recruit a social committee consisting of one social rep per team.
- Create a proposed schedule of events for collective endorsement and inclusion in team binders.
- Create a social budget (with Treasurer) for collective approval
- Book venues for events as early as possible in the season
- Coordinate social committee and collective members to help plan and run events.
- Act as liason between event venues and league
- Provide promotional materials for events for the website, newsletters, Facebook & distribution to teams via social reps and/or team reps
- Coordinate payments to venues/DJs with Treasurer
Communications & Advertising Coordinator
- Coordinate and publish monthly e-newsletters on a schedule
- Update and manage the Notso Facebook group & Notso News Blog
- Coordinate Advertising and Design Ads to promo the league
- Work with Social Coordinators to produce promotional materials (flyers, tickets) for social events.
- Design graphics for uniform t-shirts (w/ web coordinator)
- Compile power point presentation for AGM & Banquet (w/ web coordinator)
Web Manager
- Update weekly team standings & schedule on the website (with Team Rep Coordinator)
- Update & manage website including regularly updating front page news, making changes as necessary, adding pictures, etc.
- Manage online registration & ticket sales
- Manage Paypal accounts (with Treasurer)
- Design graphics for uniform t-shirts (w/ communications coordinator)
- Compile power point presentation for AGM (w/ communications coordinator)
